Case Study: National Costs Law Conference

The National Costs Law Conference is a premier annual event for cost practitioners, and this year’s was held at the Law Institute of Victoria on February 28. 

It was a hybrid event, and we were engaged to manage the livestream and make sure everything ran smoothly. 

The brief 

Guests had the option to attend the event in person or virtually, and some speakers also presented remotely. Our role was to film and livestream the conference, ensuring a first-class experience for both online and on-site attendees. 

With our extensive experience in virtual and hybrid events, we also provided our technical expertise and advice on best practices. This ensured a seamless and stress-free process for our client, allowing them to focus on delivering exceptional content to their audience. 

A 3-part process 

For hybrid events, pre-planning is essential. This first part of the process included a client and production crew meeting; setting up the platform and running internal tests on the broadcast workflow; managing production deliverables; adding brand graphics to the streaming software; and onboarding any virtual speakers. 

The second part of the process is the event itself. We had two technicians present on the day who were filming, vision switching and streaming content, and monitoring the broadcast to resolve any glitches or issues that may occur.

Behind the scenes!

The final part is post-production. We provided a top and tail edit of each speaker session within 2-3 days of the event, so the client had professional quality content they could use in future marketing. 

Our thorough approach to every stage of the process contributed significantly to the conference’s overall success. 

Hybrid events are here to stay 

While the pandemic is long behind us, the benefits of hybrid events have remained. By combining physical and virtual elements, hybrid events can cater to a wider audience and provide flexibility for attendees, which leads to higher attendance, improved ROI, and valuable data insights.
